Kuali Build: About Groups

Groups are used in Kuali Build to provide lookup lists on forms and assign to steps in workflows. There are two ways of managing groups used in Kuali Build:

  • Group/members/roles configured in Kuali Build
  • Group/members maintained in Group Manager*, then synced to Kuali Build

Configured/maintained in Kuali Build

Manually maintained by a Kuali Build user(s) who has been granted group administrator rights by a system administrator. The group only exists in Kuali Build.
  • Group administrator may add administrators and manages group membership
  • Allows adding roles to a group and assigning members to those roles
  • Best for small, stable groups with little turnover
  • Limited to 800 members
  • Kuali Build app developers can see and use any/all Kuali Groups

Group Manager Group synchronized to Kuali Build

Group maintained in Group Manager and synchronized to a Kuali Build group.
  • Synchronizes nightly to a Kuali Build group. OIT can initiate an ad hoc sync upon request.
  • Ideal for large groups, especially those that are programmatically maintained.
  • If not programmatically maintained, group owner defined in Group Manager maintains group membership.
  • Limited to the 800 members (the Kuali Group limit).
  • Syncs only with Member role in Kuali Group.
  • Kuali Build group administrator is not supported.
  • Kuali Build group roles are not supported.
  • Kuali Build developers can see and use any/all Kuali Groups.

Group Checker Webservice

An integration that can be added to a form and checks to see if a person is a member of a specific group.

Displays group members as a selectable list in a form.

Requires that the integration is shared with specific Kuali Build app(s).

Grouper Member Maintenance

An integration that can be used in workflow to add/remove members from a Group Manager group.

Provides automation; avoids manual group membership changes.

Group member must be defined on the form (submitter, person selected from a group list, etc.).

 

*Group Manager is the user-friendly front-end to Grouper.
