Kuali Build: Limiting Access to Shared Data Between Apps
Kuali Build allows data sharing between apps. That is, you may gather information in one form (first app), and want to pass some or all of the information on that form to a second app. However, you may want to allow submitters of the second app to only access data they submitted in the first app and no one else's. This article describes how to configure this use case.
Set up conditional permissions on the first app
To configure conditional permissions, do the following:
- On the Form tab, select Form Settings.
- In the Form Settings pane, under Conditional Permissions, select Edit Conditional Permissions.
- In the Conditional Permissions window, click Add Condition.
- Under Who will be granted access? select A person specified on the form.
- In the Choose a Person list, select Submitter.
- Select other options as desired.
- Close the Conditional Permissions window.
Set up data sharing on the first app
To set up data sharing, do the following:
- In the upper left of the app (beside the app name), click the vertical ellipsis menu and select Data Sharing.
- In the Data Sharing window, select Share only with SPECIFIC apps and products, then type the name of the app to share data with in the field provided.
- Click to select the Restrict access based on Conditional Permissions in the referring document checkbox.
- Close the Data Sharing window.
Note: If there are other conditional permissions that allow a user additional access to documents in the first app, this will be reflected in the available data when they complete the second form (i.e., they will have more than their own submissions available to look up).
