Panopto Policies
Privacy
Panopto cannot be used to record, store, or distribute any media that contains protected health information and must comply with HIPAA requirements. For information about FERPA requirements as pertains to recording at Duke, consult the Duke ScholarWorks website. Additionally, Panopto cannot be used to record, store, or distribute any data that may otherwise be classified as "Sensitive" as defined by Duke's Data Classification Standard.
Content Retention
Content is retained indefinitely in Panopto. However, any content that has not been viewed within the past 12 months will be moved to an archival tier of storage called “Glacier.” Content in Glacier may take up to a maximum of 48 hours to become playable once restored. Account Management
Privileged accounts such as Departmental Admin accounts, must have a business purpose, be authorized by the supervising IT Dean or Departmental Service Manager, and be active within the past year. Accounts are audited yearly and any unused accounts will be downgraded to standard Creator accounts.
Classroom Recordings
- Unauthorized or non-business related access to classroom cameras and/or microphones is strictly prohibited.
- Instructors/presenters should always remind the class/ audience that the class/event is being recorded.
- Availability of class videos after recording is controlled at the school/ departmental level. The current system default is to make content available to students enrolled in the class immediately after recording. Work with your Panopto Site Administrator if you would like different availability settings.
- By default, class recordings are shared only with enrolled students for those classes, unless the faculty member specifically requests they be shared more broadly. This means that Panopto’s “Share with anyone at your org” or “Public” options should not be used for these materials unless the instructor specifically requests they be. Instead, class recordings should be shared specifically with course rosters using the process outlined here: https://duke.service-now.com/kb_view.do?sysparm_article=KB0035796. (Note that courses set up via the Canvas-Panopto integration are automatically only shared with course rosters.)
Release Forms
Release forms are not mandated centrally but are recommended for Panopto recordings. Individual schools and departments dictate their own policies regarding the use of release forms.
