Forwarding Your Duke Office 365 Email
Note: This article applies to Duke University users only. Duke Health users are not permitted to forward email to external providers due to policy restrictions.
Overview
This guide explains how to forward your Duke Office 365 email to another email account, how to stop forwarding, and how to resolve common issues, including Gmail forwarding problems.
Before You Begin
There are a few important things to know before setting up forwarding:
You can forward your Duke email to only one external email address.
By default, Office 365 keeps a copy of forwarded messages in your Duke mailbox. This can be helpful as a backup, but you should periodically check your mailbox to avoid exceeding your storage quota.
How to Forward Your Email
1. Go to mail.duke.edu and sign in.
2. Click the Settings icon
3. Select Mail > Forwarding.
4. Check Enable forwarding. Enter the email address where you want your Duke email forwarded. If you do not want a copy of forwarded messages kept in your Duke mailbox, uncheck Keep a copy of forwarded messages.
5. Click Save.
How to Stop Email Forwarding
1. Go to mail.duke.edu and sign in.
2. Click the Settings icon
3. Select Mail > Forwarding.
4. Uncheck Enable forwarding.
5. Click Save.
Gmail Forwarding Stopped After Moving to Office 365
Before Office 365, Duke email could be sent to Gmail in two ways: by using Duke's email forwarding tool or by using Gmail's built-in POP3 feature, also called Mail Fetcher.
Office 365 does not support POP3. If you previously used Gmail Mail Fetcher to pull Duke email into Gmail, that setup will stop working after migration. You may see a warning in Gmail, and new Duke messages may no longer appear in your Gmail inbox.
How to Fix Gmail Forwarding
First, turn off POP3 or Mail Fetcher in Gmail. Google provides instructions here: Turn POP3 off in Gmail.
Then, set up forwarding in Office 365 by following the steps in the section above.
