Sponsored Accounts Renewals: Fund Code Required (Effective July 1, 2026)
Beginning July 1, 2026, Sponsored Accounts will be billed to the sponsoring department, and sponsors are responsible for ensuring accounts are reviewed and properly funded. These accounts have historically been funded by OIT and these costs will now align with the sponsoring department.
Billing
The Sponsored Accounts system has now been updated to support billing.
As part of this transition, the pricing model has been adjusted to simplify billing for non-email accounts.
What's New
- A valid fund code is now required for all Sponsored Accounts
- $8 per account per month – includes email / Microsoft license
- $2 per account per month – no email
Note: The non-email accounts will be billed at a flat rate of $2 per account per month, eliminating the previous $4 rate and bulk pricing structure.
Action Required
Please log in to the Sponsored Accounts website and complete the following actions for all accounts you sponsor prior to July 1, 2026.
- Review your Sponsored Accounts
- Enter a valid fund code for each account that will remain active
- Cancel accounts that are no longer needed
- Transfer sponsorship where appropriate
Over the next 75 days, sponsors will receive automated notifications reminding them that a Sponsored Account requires renewal. These notifications will prompt entry of a valid fund code during the renewal process.
These requirements do not apply to the School of Medicine, School of Nursing, or Duke University Health System.
Other Options for Collaboration
In many cases, a Sponsored Account may not be required. Duke-supported tools such as Box enable secure file sharing and collaboration with external partners at no additional cost. OneLink can also provide secure, purpose-specific access to select Duke systems when appropriate. Units are encouraged to consult their local IT support organization to determine the most appropriate solution.
