Duke Wiki in Atlassian Cloud: Creating new spaces and managing groups

Use the information below to access the Atlassian Manager application and create new spaces and/or manage existing ones.

NOTE:
If you have created a new space or attempted to claim an existing one and it does not appear in your list of spaces after 24 hours, please contact the OIT Service Desk

If you have added a user but they are unable to access the space, first verify they are using the correct email address as documented in the section "Accessing A Confluence Space". If after 24 hours, the user can access Confluence but not your space, please contact the OIT Service Desk.

Managing Groups and Adding Users

IMPORTANT: Atlassian Manager uses Group Manager for group management. Do not add existing groups at this time. 

  1. Go to atlassian-manager.oit.duke.edu.
  2. Click Edit by the space name.
  3. For new spaces, a group ending in -admins group is created. Users added to this group will be able to fully manage the space in Atlassian.
  4. Click the group name to add members. A new tab connected to Group Manager will appear.
  5. Enter a netid or Duke unique ID number to add a user to the group.
  6. Return to the Atlassian-manager page.
  7. Click the Sync Memberships button to save changes in Atlassian.
  8. Click the Add new group button to create other groups and add members. The default permission for new groups is Read Only. Other permission levels assigned to a group must be managed in Confluence. 

Creating New Spaces

  1. Go to atlassian-manager.oit.duke.edu.
  2. Click the Authorize button to permit the application to access your Atlassian information (the default option is to remember the decision but you can change to limit this to one hour or until the next time you access the application).
  3. In the Managed Confluence spaces, click Create New.
  4. Provide a name for the space and click Create. Or click Cancel or Home to return to the main page.
  5. A message at the top of the page indicates the wiki space is being set up. Allow one minute to complete setup, then refresh the page. The space should appear in the list of Managed Confluence spaces.
  6. To grant access to other users, go to the Manage Groups section. Otherwise, click the name of the wiki space to access it in Confluence. Consult Atlassian documentation for setting up and managing Duke Wiki spaces. 

Accessing Existing Spaces

  1. Go to atlassian-manager.oit.duke.edu.
  2. Click the Authorize button to permit the application to access your Atlassian information (the default option is to remember the decision but you can change to limit this to one hour or until the next time you access the application).
  3. In the Managed Confluence spaces, click the Connect to existing button.
  4. Enter the key for your space. NOTE: The key is the text after "'wiki" in the space link (example: in the link duke.atlassian.net/wiki/spaces/CAV/overview, CAV is the key). 
  5. If the space cannot be found, an error will be displayed. Otherwise, a message should be displayed indicating the space has been found.
  6. Allow one minute for this process to complete, then refresh the page. The space should appear in the list of Managed Confluence spaces.
  7. To grant access to other users, go to the Manage Groups section. Otherwise, click the name of the wiki space to access it in Confluence. Consult Atlassian documentation for setting up and managing Duke Wiki spaces. 

Accessing A Confluence Space

IMPORTANT: If you have added a user to a group but the individual is unable to access the space after 24 hours, first verify that when prompted, the user is entering an email address of "netid@duke.edu" and not "first.last@duke.edu". 

For example, Jane Doe has a public email address of "jane.doe@duke.edu" and a netid of "jd123". If Jane enters "jane.doe@duke.edu", she will not be able to access the space. Jane must enter "jd123@duke.edu" to access Confluence as shown in the example below.
